Booking Confirmation

  • All bookings must be made via our booking system on www.amershamkidsclub.co.uk

  • Your booking is not confirmed until payment and booking form has been received.

  • In order to attend your first session you must have completed a registration form on our website. If this is not filled in, you will not be able to attend a session.

  • We are unable to give refunds if you are unable to make your session for any reason.

  • We are unable to swap another child in your child’s place or transfer your session to another date.

  • In the event that we have to cancel a session then you will be refunded in full.

    Drop off & Collection

  • Your child can be dropped and collected at any time within the booked session slot.

  • It is essential that your child is signed in and out on the appropriate sheet by a member of our team.

  • If your child is late being collected at the end of the session, staff will follow the uncollected child procedure and call the parent/carer to establish the reason for lateness. A charge may be incurred by discretion of the manager to cover extra staffing and room hire costs.

  • Upon arrival your child’s details will be checked against their registration form provided by you.

  • At this time please share any adaptions or special instructions which will assist in our team providing the best experience possible for your child.

  • Only the nominated parent or guardian will have the authority to check a child out.

  • Should a child need to be collected by someone other than the normal parent/carer that person must be over 16 years old and able to tell us the child’s password which will have been provided on the registration form.

  • The parent/carer must notify the team in writing that this will be happening to give their permission and enable authorization to be given to staff to allow the child to be released.

  • If a parent/carer is unavoidably delayed due to circumstances beyond their control, they should make every effort to phone the Company to inform them.

  • Parents/Carers need to arrive 5 minutes before their session ends to give enough time to collect your child and for staff to give any notes on the session.

    Food & Drink

  • Snacks from home are not permitted due to the potential risk of allergies amongst the children and staff.

  • If you require your child to be given milk during a session, please provide a prepared bottle and ensure the staff know on your arrival how much milk, at what time to feed them and any other necessary feeding instructions.

  • Age-appropriate snacks may be given at the session. Please ensure any dietary requirements, allergies and preferences are outlined clearly on your registration form.

  • Any snacks will be prepared and cut following good practice guidelines.

  • All children must be sitting at a table or on a staff member’s lap when eating and will be supervised at all times.

  • Sippy cups will be provided filled with tap water so there is no need to bring your child’s water bottle.

  • All staff and children will wash their hands/wipe down before and after bottle feeding or snack time.

    Loss/Damage

  • Loss or damage to any toys, comforters, buggies or anything else brought from home will be at your own risk and we cannot be held responsible.

  • You may leave your buggy parked in the buggy park for the duration of the session however this will be at your own risk.

    Nappies

  • Nappies and wipes will be provided. Please state clearly on your registration form what size your child wears.

  • The team will change wet and soiled nappies or clothing as required, unless notified otherwise.

    Health & Safety

  • There will always be a member of staff onsite who is paediatric first aid trained.

  • All accidents or injuries will be recorded on an incident form.

  • Parents will always be contacted immediately if a child suffers anything more than a trivial accident, they suffer a head injury or if he/she becomes unwell or if we have any concerns about his/her health.

  • Any non-serious accidents as deemed by the team, parents will be informed of the accident when the child is collected at the end of the session.

  • Plasters may be used on your child during the session. Please note clearly on your registration form if you would prefer to use your own wipes or plasters.

  • If a child is showing signs of illness eg. A rash, sore throat, nose or eye discharge, diarrhea, vomiting, temperature, they will not be able to use our facility and will be asked to be collected immediately.

  • If the incident is serious and medical treatment or external authorities are involved, a member of staff should call the appropriate authorities immediately. A member of staff will inform the parent or carer of the child (or an emergency contact) immediately and inform them of the Incident and what action has been taken.

  • The team disinfects all equipment prior to each session and between sessions with disinfectant wipes and cleans and tidies the room as necessary.

  • A risk assessment will be carried out before the session takes place.

    Behaviour

  • We are committed to promote positive behaviour and that every child has the right to feel valued, respected and safe.

  • Due to the nature of their age and stage of development, it is common for children of that age to express their frustration, boredom, stress, tiredness, teething, independence or other reasons by pushing, snatching, hitting and biting.

  • Staff will do their utmost to prevent any such situation by providing engaging activities, enough toys and activities to keep busy, using simple language and visual aids to help children understand what acceptable behaviour is, positive reinforcement, offering comfort and encouraging sharing and playing together.

  • If we feel that a child is repeatedly showing signs of difficult behaviour which is strongly affecting the other children and the environment of the club, we will do our best to find out the underlying causes and communicate with the parent/care to find appropriate solutions.

  • If a child finds it hard to settle and becomes distressed during the session, the team will contact the parent/guardian requesting you to come and comfort them and attempt to resettle your child or remove them from the facility if this is deemed to be in the best interests of the child by the team.

  • Parents/carers are more than welcome to stay as long as they would like on the child’s first session if they feel that will help their child settle in better.

    Additional Needs

  • If a child has an identified additional support need, we aim to support them and their family as best we can.

  • Due to the staff:child ratio requirements, if we feel that your child requires more 1:1 focus or that it is not possible to integrate the child in their best interests we may provide you with details of a more beneficial service that may be able to better meet the needs of the child.

  • Our staff currently do not have any SEN qualifications.

    Staff

  • All members of staff are DBS checked and there will always be a member of staff onsite who is pediatric first aid trained.

  • All staff will be reference checked at minimum with one former employer.

  • All staff will provide photographic ID (passport or driving license) and evidence of any relevant certificates or qualifications.

  • The team will not tolerate any violent, racist or disruptive behaviour towards members of staff. Anyone resorting to this behaviour will be asked to leave the facility.

  • The company takes child/staff ratios very seriously and use the early years ofsted framework as recommended guidance:

  • 1 adult:3 x under 2s

  • 1 adult:5 x 2-3 years

  • 1 adult:8 x 3-4 years.

    Photography

  • Amersham Kids Club will only take photographs of children whose parents / carers have given permission as outlined on their registration form.

  • Any photos taken will solely be used for marketing purposes on our website or social media.

    Confidentiality

  • All information provided by either party to the other including but not limited to personal details relating to the child, carer or parent, will be treated as strictly confidential and will not be disclosed by either party to any third parties, unless required by law or regulation, without prior written consent of the other or the child carer, as the case may be.

  • Records of all incidents, events and child carers will be treated as confidential.

    Data Protection

    Your personal data and your child's personal data will be kept for 1 year after your child no longer attends a session. No data will be kept online for any amount of time once your child no longer attends the Club, the only data that the Club has online is your child's registration form via e-mail.

    Liability

    The client agrees that the company shall be limited to the sum insured under the public liability insurance policy held by the company in the relevant insurance period.

    Dispute

    In the event of dispute between the parties to this agreement, the parties undertake to attempt to settle the dispute by engaging in good faith with the other in a process of mediation before commencing arbitration or litigation.
